Builders Artificial Intelligence Forum is an organization headquarted in Rome, Italy. Its mission is to identify impediments to human progress and then work cross-sector to remove them.

What Information We Gather

We may gather certain information, either personal or anonymous, based on your activities or data submitted while browsing our website, in the following formats.

Form information

If you submit a contact form, mailing list signup form, or donation form on our website, we collect any personal data submitted by you (Name, Email Address, and for any payment forms, cardholder information).

BAIF event registration and participant portal

For invited BAIF events, we import the registration details supplied to the event team so that we can restrict the participant portal to confirmed guests and prefill their profiles. This may include your invited email address, name, honorific or suffix, role, organization, LinkedIn URL, and a public biography or organization URL supplied with the registration. Postal addresses from the operational guest list are not imported into the portal.

Staff may use the supplied public biography or organization URL to prepare a suggested biography or profile photo. We do not automate collection from LinkedIn profiles. Suggested material is kept private, reviewed by an authorized BAIF staff member, and remains unpublished until you review the profile, accept the applicable policies, and activate it. You can edit or replace all prefilled profile information and photos before or after activation.

An activated participant profile is visible only to other eligible, signed-in BAIF participants and authorized staff. Email addresses and consent records are not included in the participant directory. Direct participant contact is relayed without revealing an address unless the recipient chooses to reply.

How We Use Your Information

  • Deliver subscriber services (ie. mailing list blast);
  • Process and respond to a directly submitted inquiry or request;
  • Verify eligibility for an invitation-only BAIF event and prefill its participant portal;
  • Operate the private participant directory, workshops, and participant contact relay;
  • Process a donation;
  • Personalize services in order to provide a better user experience;
  • Improve our website experience.

How We Protect Your Information

We take the greatest care in the security of your submitted information. Our website uses up-to-date Secure Socket Layers (SSL) encryption in order to protect the transmission of your data upon submission to our servers.

Where your information is stored

Depending on the type of information you have submitted, your data will either be stored securely in a database on our server; or in the database of our trusted third-party partners, if data was directly submitted by you for a particular purpose on our website. Participant accounts, invitation records, profiles, and private photos are stored using Supabase. These third-party partners include:

  • Google – for anonymous statistical information, and/or personalized data (for visitors from outside the EU)
  • Supabase – for authentication, participant data, and private file storage

International Transfers

Due to the multinational locations of our servers, as well as our third-party partners, any information which you consented to provide may be transferred to a location outside of the country or region you are located in. Data will only be transferred to either:

  • our servers;
  • trusted third-party partners, as indicated in the above section, which we determine to have adequate transparency and security parameters in place for the protection, storage and accessibility of your data.

Data breach prevention

Our servers and website infrastructure are kept up to date and secured by a Wireless Application Firewall (WAF) to protect against a data breach via a third party attack. In the unlikely event of a breach where your stored data is, or may have been compromised, we will inform you within 24 hours after becoming aware of the data breach, and provide you with our action(s) taken in order to protect your data moving forward. Note that due to a multitude of different vulnerabilities which are present during the submission of data and are outside of our control (local computer viruses, unsecured/compromised internet connections, etc.), we cannot guarantee and are not responsible for compromised data which occurs during the submission of data and as the result of such factors outside of our control. However, once the data has been submitted and is stored in our infrastructure, we ensure that the data is responsibly held and secured.

Data Controller & Data Protection Officer

The data controller is the organization/entity responsible for the protection of information on and submitted to this website. The data controller is Longbeard Creative Inc. Complaints, concerns or requests will be fielded by the Data Protection Officer who can be reached by filling out a request on this form.

How Long We Store Your Data For

Personal information submitted directly on our website or imported for an invited event is retained for as long as it is needed to operate the event and participant community, meet legal obligations, or until deletion is requested where the right applies. Portal account holders can delete their account and associated portal invitation, enrichment, profile, and stored-photo records from the account controls. Data collected by Google for statistical and personalization purposes is retained for 50 months before being deleted automatically. Accessing Your Data

If we hold data about you, you may have the right to access, correct, or request erasure of that data. Signed-in portal account holders can download their portal data or delete their account from the account controls, including when portal access has been revoked. You can also contact the Data Protection Officer using the method above.

Our data collected via Google Analytics is anonymized and therefore not personally traceable to you unless you are signed into your account. If you have a Google account, you can request a copy of your information from Google here.
